  • If you are registering for the first time for the SAMA Annual Conference 2025, please click on the words "New Registration" to create your profile and password. 
  • Once you have registered and should you wish to amend your existing registration, please click on the words "Amend Existing Registration" and enter the email address and password you used when you first used the registration system. 
  • PLEASE NOTE: If you want to add an additional delegate to your existing registration please click on the words "New Registration" to add additional delegates and proceed with registering the delegates, because if you try to access the existing booking to add additional delegates, it will change the existing booking.  Please contact Thandeka Ngubo should you have any queries:  Email: thandeka@confco.co.za
  • Scroll down to the bottom of the page and click on "NEXT" to proceed.
  • If you have forgotten your password, click on the "Forgotten your password?" link and follow the instructions.  You need to enter the email address you used when you first used the registration system and click on "Reset password". The email to reset your password will come from "EventsAIR". 

If you do not find it in your inbox, please check your spam, junk or clutter mailboxes to retrieve it.  The system will send you a link.  Click the link to change your password.  Enter a new password and re-enter the password to confirm.  Click the button to confirm.  Return to the registration page to re-enter the registration system.

  • Payment can only be made when you have completed the entire registration process.
  • An invoice will automatically be generated and sent to the e-mail address provided during registration.

Personal Information:

By registering, you agree to the “ordinary” personal data you provide with the other delegates who will attend the conference, to enable effective networking and business exchanges to take place, including on the official Conference App. Personal data on all delegates will be retained on the registration system/ APP for 1 year, for the purpose of enabling delegates to easily contact one another after the event is over, other parties who did not attend the conference will not be able to access your personal data.

Photography and video material

Pictures and videos taken at the conference could be reproduced in future, news or promotional material, whether in print, electronic or other media, including social media and the CONFCO/ SAMA websites.

CONFCO/ SAMA reserves the right to crop, splice, treat and edit any imagery or photographs taken at CONFCO/ SAMA events.  The participant waives the right to inspect or approve the finished product, including written or electronic copy. Additionally, all right to royalties or other compensation arising or related to use of the name, photograph or biography are waived by the Participant, Participant’s agents or employees. All photographs and video materials taken at CONFCO/ SAMA become the property of CONFCO/ SAMA. CONFCO/ SAMA related materials may not be photographed, drawn, copied or reproduced without CONFCO/ SAMA written permission

Naturally, Participants always have the right for their picture to be removed. Should you wish to have your picture or video removed, please contact us and we will take action accordingly.

Registration Important Information

Important Dates: Early Registration Closes on Sunday, 30 November 2025   

Accommodation: 
Bookings are to be made directly with the hotel, information can be found on the accommodation page of the conference website.  

Registration: 
Your registration fee includes:

The registration fee excludes:

Letters of Invitation: 
Should you require a VISA Letter in order to obtain a visa (non-South African residents) , please send email to thandeka@confco.co.za for assistance.

 

Payment and Invoicing:
An invoice will be sent after registration along with your confirmation email. The invoice includes the Conference Banking details for Payments or you may use the Link provided on the Confirmation email to make an Online Card Payment. 

Special dietary requirements:
The congress organisers and venue are committed to accommodating the dietary needs of our delegates to the best of our ability. However, we cannot guarantee the absence of cross-contamination of nuts and fish for those with severe allergies. Please note that any special dietary requests made after 30 March 2026 cannot be guaranteed, as arrangements are finalised with the venue in advance.

Cancellation Policy:
- Bookings cancelled in writing before 30 November 2025 will be subject to a 50% cancellation fee.    
- Cancellations made from 01 December 2025 will not qualify for a refund.    

- In the event of non-arrival, no refunds will be issued.

On submission of your registration, your information will be encrypted and securely forwarded to the Conference Secretariat for processing. Once your registration has been processed, an invoice with the conference banking details will be sent for your payment in South African Rand (ZAR).

The venue only purchases from Halaal Certified suppliers but does have a liquor license and sells alcohol. Should any delegates require Halaal or Kosher meals to be brought in a surcharge per meal is applicable for the delegates’ own account. Please advise the organizers in advance of your requirements.

Coding Conference Only: Coding Conference is a 1 day event, this option only allows you to register and attend the Coding Conference Only, which will be held 21 May 2026.

Registration terms & conditions 1)Registration will only be validated if all dues are paid prior to the event. Attendance will only be allowed, after receipt of payment/verification of presented proof of payment. 2)Relevant & discounted rates are only extended to individual or non-individual members in good standing, full time students, or in line with pre-negotiated participation packages/benefits for groups, sponsors, or exhibitors. 3)A submitted registration is taken as a firm commitment to attend. In the event of non-attendance, the delegate will be held liable for payment of the full amount. No refunds are payable for non-attendance. 4)All payments are to be made directly to provided account number. 5)All cancellations or substitutions must be received in writing. No telephonic cancellations or substitutions will be accepted. A cancellation administration fee of R 360.00 (inclusive of VAT) is payable to the appointed registration service provider for the event. 6)No cancellation and no refunds will be accepted after 15 January 2026. Full registration fees are due after this date. 7)Substitutions can be facilitated at an administration fee of R360.00 (inclusive of VAT), payable before substitution is administrated. 8)SAMA, or its agents, cannot be held liable for the postponement or cancellation of the event due to circumstance beyond its control. Circumstances include, but are not limited to, political or non-political unrest, floods, natural disasters, unsafe environments, or any Force Majeure circumstances.

What happens next? Once your application has been received and processed:
• An invoice with the banking details will be forwarded to you.
• Payment can be made by Credit Card, Bank/Electronic Transfer, Cash deposit. Purchase Orders will NOT be accepted.
• Please note that if payments incur bank charges, these will be for your own account.
• Full payment for these charges is required before your registration is fully confirmed.
• Please ensure any bank transfer makes clear reference to the payment reference number stipulated on your invoice.
• Once payment has been made, kindly email through proof of payment to the Secretariat, c/o The Conference Company. Email: finance@confco.co.za
• An official receipt will be provided on confirmation of payment.

For Online payments please request Invoice and use the link provided on the Confirmation email.
